Summary location and holdings data

A proposal for a Norwegian Z39.50 profile

This profile proposes a simple method for embedding summary location and holdings data into NORMARC, USMARC and SUTRS records.

The profile is based on agreements within NorZIG: Norwegian Z39.50 Interest Group.

 

1. Periodicals

NORMARC:

Include one or several 850 fields, containing the following subfields; where the Norwegian descriptions in parentheses are quoted from the NORMARC standard:

$a: Institution/location (Eiende bibliotek/avdeling)
$b: Sublocation/collection (Filial- avdelings- eller samlingskode)
$c: Shelving location (Hyllesignatur)
$g: Holdings string (Not in NORMARC)
$i: First volume (Første bind i biblioteket)
$j: Parallel numbering for first volume (parallell bindnummerering til første bind)
$k: First year (Første år i biblioteket)
$l: Last volume (Siste bind i biblioteket)
$m: Parallel numbering for last volume (parallell bindnummerering til siste bind)
$n: Last year (Siste år i biblioteket)
This proposal includes 1 subfield that is not in NORMARC: $g.

Comments to $g: Holdings string

This subfield applies to periodicals only. The proper way of entering holdings data is through the use of subfields $i - $n. As not many systems keep such detailed information, we propose to use the $g subfield for a "holdings string", which is human-readable, but most often not machine parsable. The use of subfield $g is mandatory, while subfields $i - $n are optional.

USMARC:

Include one or several 866 fields, containing the following subfields:
$a: Holdings string
Comments:

There is no way of using embedded location/holdings data in the USMARC bibliographic record in the same way as the NORMARC proposal, and while we are proposing extensions to NORMARC, we will certainly not be doing that for USMARC.

However, as 866 $a is a string with no further structure, we propose to prefix the actual holdings ("caption") string with location data that would go into 850 $a in the NORMARC case.

SUTRS:

Recommendation: Include one or several "records" - each consisting of one or several lines - with the same contents as in the NORMARC case for subfields $a, $b and $c, but without subfield information or other punctuation. Holdings data should be expressed in human-readable form, e.g. in the same way as in subfield $g.

2. Monographs

NORMARC:

This proposal includes 2 subfields that are not in NORMARC: $f and $h.

Comments to $f: Use restrictions

This subfield may be used to state use restrictions on the copy level. The use of this subfield is optional. The absence of this subfield should not be given any particular interpretation. A list of legal values for this subfield is given in table 1, taken from the OPAC/Holdings schema [1].

Comments to $h: Circulation status

This subfield may be used to state circulation status on the copy level. The use of this subfield is optional. The absence of this subfield should not be given any particular interpretation. A list of legal values for this subfield is given in table 2, taken from the OPAC/Holdings schema [1].
